Are you licensed and insured?
Yes. Stooges Exterior Services LLC carries general liability, commercial auto and workers compensation coverage, and holds a Wisconsin Dwelling Contractor Qualifier credential. A certificate of insurance is available on request, issued by our insurance agent so it is the real document.
Can I get a certificate of insurance naming our association or management company?
Yes. Send the exact legal name and mailing address of the certificate holder and any additional insured, and we request it from our agent the same business day. If your accounting team needs the holder to match the billing name on the invoice, tell us and both will read the same.
Can I get your W-9?
Yes, on request, by email. We usually send it with the proposal along with the certificate of insurance so your accounting team has everything in one place.
Do you have references?
Yes. We can give you managers and board members at properties like yours who will take your call, and we tell them to expect it. Before and after photos from comparable jobs are included with every proposal.
Can you register in our vendor compliance platform?
Yes. Tell us which platform your company uses and we complete the registration with the certificate, W-9 and company details it asks for. We keep the certificate current so it never holds up a payment.
Proposals, bids and budgets
How does the Free Exterior Assessment work?
We walk the property with you, measure every area we would price with a wheel, laser and tape, and photograph every problem spot. You get a written proposal, usually the same week, with no obligation.
What is in the proposal?
Every service on its own line with its price, and options side by side where there is a choice. Estimated service days plus at least one buffer day, payment terms, the guarantee and the acceptance block in plain words. It is written so a manager can forward it to a board unchanged.
Our board only asked for one service. Will you quote just that?
Yes. We price exactly what the board asked for, and if we see other areas that need attention we show them separately with photos so the board can decide. Nothing is added to the requested scope without your say.
The board reviews proposals before the meeting. Can you send it ahead?
Yes, that is how most boards work and we plan for it. You get the PDF and a short overview you can paste into the meeting packet. If the board wants us in the room for ten minutes to take questions, we come.
Can the work be phased to fit our budget?
Yes. Large scopes are split by building group or by service, each priced on its own line, so the board can approve what fits this year and book the rest for the next budget. On multi-year programs we can also set a schedule with a fixed renewal so it does not need re-bidding every year.
When should an association budget for exterior cleaning?
Wisconsin condominium associations adopt an annual budget, and most lock it in the fall for the next year. Reserve funds are meant for repair and replacement of common elements, so routine cleaning usually comes out of the operating budget. The best time to get a written price is summer or early fall for the following season.
Some areas are owner responsibility, like patios and balconies. How do you handle that?
We price the association’s common elements and keep limited common elements separate so the board is not billed for owner areas. Where it makes sense we include those areas as a bonus on the full-scope option so every owner sees the same result.
Only some of our buildings need gutter cleaning. Can you bid just those?
Yes. We photograph and assess every building’s gutters and downspouts, note which are clogged and how badly, and bid only the buildings that need it, usually the ones under or near tall trees. The assessment is free.
Why not just take the lowest bid?
Ask every bidder for the same list: certificate naming the association, how cars, plants and glass are protected, where the water comes from, who controls runoff, photo documentation, the guarantee in writing, crew size and schedule. The bids that cannot show one of these are cheaper for that reason.
Scheduling and residents
How do you notify residents?
We send the manager a notice with the dates, what to clear from patios and balconies, windows closed, where to park and where to put trash bins. The manager posts it or sends it out. For older communities, a notice on each door works better than email, and we will walk them around.
What should residents do before you arrive?
Move furniture, plants and loose items off patios and balconies, close windows, and keep cars away from garage doors and the building face. Anything left in place is worked around, not moved by the crew. Pets stay inside while the crew is on that building.
A resident does not want their unit washed. Can you skip it?
Yes. Tell us the unit before the day and the crew skips it, and we confirm in writing.
How do you handle parking garages with cars in them?
We work the garage in sections over two or three days so residents move cars once, in phases, on the schedule you set. The truck stays outside the garage and no engine runs inside, so smoke and carbon monoxide sensors are not a problem. Cars that cannot move are worked around.
Can you work after hours or on weekends?
Yes. Shopping centers and offices are usually done early morning, evenings or overnight so no tenant is open while we work, which also means no tenant notice is needed. Give us a week and we put it on the calendar.
What happens if it rains or gets cold?
Light rain does not stop washing. Heavy rain, high wind or freezing temperatures move the day, and every proposal already includes a buffer day for that. You hear from us the evening before, not the morning of.
Do we have to be there?
No. We need gate and water access and a contact for the day. We send a text when we arrive and the photo report when we leave.
On the day: water, noise, chemicals, plants, cars, access
Where does the water come from?
We bring our own water on large jobs and carry our own spigot key for small ones. When a job needs hydrant water we pull the hydrant permit, so your meter and your hose bibs are not involved.
Will the equipment be loud?
Facade and balcony work near occupied units runs on a battery-electric soft wash unit, which is much quieter than a gas pressure washer. The gas hot-water unit is used for garages, grease and gum, scheduled for the hours you set.
Is it pressure washing? Will it damage siding, trim or windows?
Siding, roofs, soffits and trim are soft washed, which is a cleaning solution applied at low pressure, close to what comes out of a garden hose. High pressure is reserved for concrete and masonry, and even there we stop short of what would chip the surface. Glass is rinsed so nothing dries on it.
What about plants and landscaping?
Landscaping is rinsed with plain water before and after, and planted beds are kept wet while we work above them. Bushes against the building do not stop us, though trimming them back a little helps the crew reach the wall.
Where does the wash water go?
Runoff is managed to be fully compliant when the job calls for it: wash water and debris kept out of storm drains. Gutter debris is scooped by hand, bagged and hauled away rather than flushed onto the siding. Garage grit is collected, not pushed into the drain.
Do you pull permits?
When a job needs one, yes, and it is in the proposal. The common one is a hydrant permit for water on large jobs. Lift work on a public sidewalk or street may need a right-of-way permit from the municipality, and we handle that too.
After: guarantees, photos, payment
What is the 30-Day Satisfaction Guarantee?
If the completed work does not meet your expectations, tell us within 30 days and we make it right at no additional cost. Organic regrowth later in the season is excluded. It is written into every proposal.
What happens if you are late?
Every proposal carries an On-Time Guarantee in writing. We confirm a completion date when the job is booked. If we finish after it, we credit 2 percent of the contract price for each business day late, up to 10 percent, on the final invoice. Days lost to weather, to access we cannot get, or to scope you add do not count. A buffer day is already in every schedule.
What if something is damaged?
Tell the manager the same day with a photo. We come out, look at it with you, and put in writing what we find and what we will do. Most reports we have had were a missed rinse or a spot that needed a second pass, and those are fixed on the return visit.
Do we get photos?
Yes. Every job gets before and after photos of each area, delivered in a shared folder you can forward to the board. If a building needs a second pass, you see the photo of that too.
What are your payment terms?
Fifty percent deposit on signing, balance invoiced on completion and due on receipt. Two plain invoices, deposit and final, cross-referenced, paid by bank transfer. We write them to the entity that pays and send them to the billing inbox you name, with the certificate and W-9 attached if your accounting team needs them.
