Let the board see the result before they vote

Exterior cleaning for condo associations and HOAs in Southeast Wisconsin. Building soft washing, patios, entrance monuments, gutters and walks. Proposal written for the board, work scheduled around residents, photos when we leave. A cost-free demo on one building or entrance, so the board votes on a result, not a promise.

The board’s problem

Every owner sees the green wall. The board hears about it.

Algae on the north siding, black streaks under the soffits, moss on the entrance stone, patios that look older than the buildings. Owners notice. Complaints go to the manager, the manager goes to the board, and the board needs three bids, a budget line and a vote.

What makes association work different

  • The money is yearly. Wisconsin condo associations adopt an annual budget and distribute it to owners (Wis. Stat. 703.161). Cleaning usually comes from the operating budget, so timing matters. Budgets for next year are often set 90 to 120 days before year end.
  • Reserves are for repair and replacement. Spending reserve money on ordinary upkeep takes an owner vote (Wis. Stat. 703.163). A clean proposal that fits the operating line avoids that.
  • The manager is the contact, the board signs. Smaller scopes get approved by the manager alone. Larger ones go to a meeting we are usually not in. The proposal has to make the case by itself.
  • Residents live there. Water, noise, blocked drives and a crew at the window are all complaints waiting to happen unless they are told what to expect.

Case study

Won one phase at a time

48 buildings, 337 units, cleaned in phases

48buildings, the entire community
337units, apartments and condos
4buildings a day, full scope
7:00on site each service day, off by 6:30

The association’s manager brought us in. We met the board in person and proposed the work in phases, so each phase was a smaller decision and the finished phase was the proof for the next. Crew of three to four, setup at 7:00, service 8:00 to 5:00, quiet electric touch-ups to 6:00, off site by 6:30. Residents got dates ahead of time and cleared patios and balconies. A hydrant permit covered water. After the season the board asked for a recap meeting and booked the fall gutter cleaning. Won one phase at a time.

Built for a board vote

Before the vote
1

Proof before price

Let the board see the result before they vote, with a cost-free demo on one building or entrance.

2

Two options, not one number

The full scope and the requested scope, side by side. Large jobs phased across budget years, each phase its own approval.

3

COI naming the association

Certificate of insurance made out to the association and the management company, requested the same business day you ask.

On the property
4

Resident notice you can forward

Dates, what to clear from patios and balconies, windows closed, where the crew will park. Sent ahead so nobody is surprised.

5

Quiet near occupied units

Battery-electric soft wash unit for touch-ups near windows and patios. Cones out, cars and plants covered, runoff managed to be fully compliant, kept out of storm drains.

After the work
6

Photo report for the board packet

Same-angle before and after from every building. The manager forwards it. The board sees what it paid for.

7

On-Time Guarantee

We confirm a completion date in writing when the job is booked.

Details

If we finish after that date, we credit 2 percent of the contract price for each business day late, up to 10 percent, on the final invoice. Days lost to weather, to access we cannot get, or to scope you add do not count.

Questions boards ask

What a board member wants to know first

Can you phase the work to fit our budget?

Yes. We split large scopes by building group or by service, priced on separate lines, so the board can approve what fits this year and pre-book the rest for the next budget. Phases are scheduled with a date, not left open.

Will you come to a board meeting?

Yes. Ten minutes to walk through the proposal and take questions. If the board would rather review on its own, the manager gets a one-page summary to forward unchanged.

What should a fair bid comparison include?

Certificate of insurance naming the association, how cars, plants and glass are protected, where the water comes from, who controls runoff, photo documentation, the guarantee in writing, and crew size with a schedule. Price last. We put all of those on our proposal so you can compare line by line. Ask every bidder for the same list. If a bid cannot show one of these, that is the difference in the price.
